Consent form and personal information notice
Sponsor program and exclusive discounts — Part-Time Outlaws
This document explains what personal information Part-Time Outlaws collects to register you in the sponsor program, who it may be shared with, why, for how long, and what your rights are. It applies to every member who chooses to take part. Once the conditions are met, a version of this form is linked to your membership and recorded in your personal consent record.
1. Who is responsible for your information
Part-Time Outlaws (the “group”) is the organization responsible for the information collected in the member space. The Privacy Officer can be reached at ptoutlaws@gmail.com.
Sponsors are independent businesses that offer discounts or perks to members. A sponsor receives no information about you until you have authorized it, one sponsor at a time.
2. Truthful information required
To be registered in the program and access discounts, you must provide your real information: full name, address, email, phone and municipality. A sponsor must be able to confirm that a discount goes to a real member.
By registering, you declare that this information is accurate, complete and current, and you agree to correct it in your member space if it changes. False, borrowed or incomplete information may lead to refusal or withdrawal of your access to the program and discounts, without necessarily ending your membership in the group.
3. Information collected and purposes
Member profile information: full name, address, email, phone, municipality, the motorcycle you own and whether you plan to change it, group-buy participation, membership date, tier and member number. Purposes: manage your membership, secure your account, verify your member identity, determine the discounts you are entitled to and target group buys relevant to members.
Information shared with a sponsor (only after your separate authorization for that sponsor): among full name, member number, email, phone and postal code, as stated in the sponsor’s notice. Your mailing address is never shared. Sole purpose: apply the discount or perk intended for you.
4. Your consent
Your consent is free, informed, given for specific purposes and requested separately from any other information. It is never pre-checked. The general program choice is not enough: each sponsor requires its own authorization stating the recipient, purpose, information shared and maximum retention period.
Refusing the program or a sponsor does not end your membership; the related discounts are simply not offered. You can change your mind at any time in your member space.
5. Commercial messages
No sponsor may send you commercial electronic messages without your express consent, separate from the sharing authorization. Every message must identify the sender and provide a way to unsubscribe. This requirement comes from Canada’s Anti-Spam Legislation (CASL).
6. Sponsor obligations
Before being offered, a sponsor signs a written agreement requiring it to: use the information only to apply the discount; not disclose, sell or reuse it; apply reasonable security measures and limit access; destroy it no later than the stated retention period or upon a withdrawal notice, with written confirmation; notify the group without delay of any confidentiality incident; and allow the group to verify compliance.
Every transfer is logged. After a withdrawal, erasure or the end of the partnership, the sponsor is asked to delete the information received.
7. Retention, hosting and security
Information is kept only as long as needed for the purposes above. The database is hosted in a Canadian Supabase region; Cloudflare delivers the site and may process technical data outside Québec under applicable safeguards. Where a sponsor keeps or processes information outside Québec, a privacy impact assessment is completed before the offer is activated. Internal access is limited to authorized people, and consent decisions are kept as proof.
8. Your rights
You may request access to your information, its correction, deletion or transfer in a structured technological format, withdraw a consent at any time and learn to whom your information was disclosed. The member space lets you download your data and send a request; a response is given within 30 days. Reasonable identity verification may be required.
You may also file a complaint with the Commission d’accès à l’information du Québec.
9. Confidentiality incidents
Every confidentiality incident is recorded in a register. If it presents a risk of serious injury, the Commission d’accès à l’information and the people concerned are notified promptly.
10. Group buys
If you choose to take part in group buys, you accept these terms: your interest is not a purchase commitment and no payment is requested; your choices (categories, details) are visible only to you and the administration; they are used solely to negotiate collective discounts for the group; no information is shared with a merchant without your separate authorization; quantities may be capped per member, for personal use only; you may withdraw your interest or participation at any time in your member space.
11. Applicable laws
Act respecting the protection of personal information in the private sector (CQLR, c. P-39.1), as amended by Law 25, including requirements for clear, free, informed and specific consent, information at the time of collection, disclosure to third parties, privacy impact assessments, rights of access and rectification, and confidentiality incident management.
Canada’s Anti-Spam Legislation (S.C. 2010, c. 23), for commercial electronic messages.
This document describes the group’s practices; it is not legal advice.
